About the role

Your Opportunity

As an administrative assistant for traditional media and BTL, you will be accountable to ensure the process of media and BTL hiring, follow up and payment inside Bacardí transparency process and align with the media plan for the Bacardí Portafolio Brands full year. You will contribute on the flawless execution of the brand´s media and activation plan ensuring media partners and agencies are ready and in compliance to work. 

About You 

You will lead the transparency hiring process with media partners and BTL agencies to ensure flawless execution of the brand plan for the complete Bacardí portafolio brands.
You will be responsible of placing the PO´s to work in compliance before start activating a campaign, communicate partners and brand agencies budget approved, follow up of activation evidence and GR´s for month closing and provisions align with BM.

Responsibilities

With our Consumer at the heart, your key focus will be:

Business Strategic Performance Management
  • Accountable for the transparency process managing traditional media partners and BTL agencies for Bacardí Portafolio Brands; PO placement, media hiring, follow up of evidence, GR´s, media partner and agency communication, follow up of invoices and correct payment. 
  • A&P media spend and BTL follow up; month closings and provisions (Continuous communication with BM and Finance)
  • Actively monitor Brands KPIs define with BM and Media Agency to align if budget is being executed as planned
  • Accountable for the registration of new partners in Bacardí supplier base
  • Accountable to maintain in a healthy status all media partners and BTL agencies to work with compliance – ex: OOH, magazines, etc 
Drive results & excellence in execution
  • Deliver suppliers PO´s on time and in compliance 
  • Ensure with BM month closings align with media digital plan and AP IBP
  • Ensure invoicing and payment 
  • Maintain suppliers ready to activate for brand plans 
Integrated Brands communication
  • Ensure with BM the flawless execution of the media plan and BTL activations 
Creating a winning team
  • Actively support effective matrix working 

Skills and Experience

The Skills & Experience needed to create your legacy
  • Experienced in Suppliers Management 
  • Experience in Administrative tasks (Po´s placement, payments, follow up, budget administration, reporting) 
  • English language skills
The following experiences are preferred:
  • Experience in Media Agencies
