About the role

As part of a dynamic team of global Archivists and Heritage Curators, The Bacardi Assistant Archivist will be responsible for all elements of the day-to-day management of The Bacardi Archives collection, including appraisal, organization, cataloguing, digitization, storage and preservation. The Bacardi Assistant Archivist will be immersed in our company story and will play a vital role in shaping the collection’s development and sharing the 160-year story of the Bacardi company and the BACARDÍ rum brand.

The Bacardi Archives, located inside the Bacardi office in Coral Gables, encompass more than 160 years of history of the world’s most awarded rum brand across with more than 20,000 items including both paper and digital business records, advertisements, photographs, more than 4,000 rum bottles, fine art paintings, promotional items, the world’s largest and oldest private cocktail book collection, and more.

This role is for someone with impeccable organization and communication skills and a passion for storytelling. You are a self-starter, comfortable working autonomously and carefully amongst a collection of historical records that span seven generations of a family-owned business. You have a knack for developing catalogues and systems to ensure the accessibility of vital company records today and for years to come. You connect the dots between the business and the stories of the past to reinforce the authenticity of our iconic brands.


The main duties and responsibilities for this position include:
• Execute and support the strategic direction of the Global Heritage team to support business priorities and increase visibility of the archive collections.
• Manage the acquisition, appraisal, organization, cataloging, preservation and digitization of collections including traditional archive records and physical objects such as rum bottles.
• Support the Digital Archive team with the development of the Bacardi company and brand digital archive collection.
• Work with the company’s open-source software, Collective Access, to develop accurate collections information and descriptions.
• Support management of the company’s fine art collection including cataloguing, appraisals, curating displays, and proper storage.
• Support the development of heritage communications and compelling storytelling for internal and external communications, including social media, intranet, town halls, and presentations.
• Provide historical research to support business priorities, potential investments, and brand projects.
• Host in-person archive tours and training sessions.
• Assist in the development of policy guidelines concerning the management of collections and sharing of intellectual property.
• Assist development of new archives for modern brands.
• Support the development of engaging heritage exhibitions including a private museum and the Casa BACARDÍ brand home in Puerto Rico.

Skills and Experience

• Masters degree in Library and Information Science with emphasis on archives, or equivalent qualification relating to archives and records management.
• Minimum of two years’ experience working in an archive, preferably a business archive. This may include traditional archives, digital archives and records management.
• Ability to manage traditional archives and digital archives.
• Up-to-date knowledge of established archive principles, including digital preservation standards and archive descriptive standards.
• Excellent organization skills and proven ability to independently care for a collection of historic artefacts and records, championing daily activities with confidence.
• Business fluency in English and Spanish.
• Ability to read 19th century cursive handwriting in both Spanish and English.
• Knowledge of digital archiving, ideally with experience using Preservica or other online tools for digital cataloguing.
• Excellent written and verbal communication skills including the ability to give presentations.
• Experience managing high-value works of art.
