About the role

  • The purpose of this role is to contribute towards the operational planning by the JDSL Bulk Planning team by ensuring that system accuracy and compliance is achieved on a consistent and timely basis - the business is continuing to grow, and there is a need to accelerate and improve on the everyday transactions and ERP/MRP system activities that support this to ensure that we can continue to support this. This new role of Bulk Planning Systems Administrator would be instrumental in working towards the strategic aims of the business by ensuring that we are achieving full documental and transactional compliance as we increase our output:
  • Focus on right first time processing of SAP and DRAMS transactions relating to customer sales, bulk exports, NMS receipts and mature spirit purchases within the Bulk Planning team
  • Supporting the operational planning team by ensuring SAP/DRAMS transactions relating to exports + co-packer activities are processed in a timely and accurate manner
  • Contributing to the efficiency and timeliness of the Bulk Planning team’s outputs by working alongside to the planners to deliver our tactical and strategic goals and customer needs and allowing them to focus on production outputs


  • Transacting of customer sales through both DRAMS and SAP systems, including creation and management of Sales Orders, price codes etc.
  • Raising of Purchase Orders for the purchase of New Make Distillate, Warehouse Rental and Mature Spirit purchases from 3rd parties, and full processing of associated invoices Compilation of needed SAP data updates for these (outline agreements, purchase requisitions, etc.)
  • Transacting of STOs and Sales Orders associated with bulk liquid exports, including generation of accompanying documentation, EMCS entries, etc. Also co-ordination and processing of returned orders
  • Maintenance of SAP transactional storage locations associated with sales, etc., updating quantities, ensuring all operational steps are transacted and shown inventories are accurate
  • Co-packer outturn management + processing of inventory movements and production orders goods issues
  • GR/IR report compiling and completions for Bulk area, with a focus on full and timely compliance with the Bacardi groups SOX requirements, payment terms, etc.
  • Participation in UATs for new system transactions and new shipping routes
  • Proactively seeking processing improvements and defining best practice for operations and transactions, providing training to others
  • Supporting the Bulk Planning and Transport Manager in pursuing the department’s and company’s strategic aims
  • Ensuring the highest levels of SAP + DRAMS transactional efficiency and accuracy are maintained 

Skills and Experience

  • ERP systems knowledge, preferably SAP, DRAMS and EMCS
  • Effective and supportive communicator
  • Knowledge of the whisky/spirits industry 
  • Competent in Office software
  • Proactive in suggesting improvements
  • A keen problem solver
  • Detailed focused with attention to detail
  • Adaptive to learning methods and able to quickly utilise new skills
