About the role

As an Office Manager / Executive Assistant you are responsible for all office related topics and for the
support of the European Leadership Team (ELT) based in Amsterdam. With your positive mindset and
the “I can do” mentality you are the contact person for our Primos (colleagues) in the Amsterdam
office. As well you are the point of contact for our external relations.

Key accountabilities and responsibilities

  • Welcome our visitors, take incoming calls, organize mailings
  • Organize meetings including the logistics and any administrative support needed
  • Perform various administrative tasks for all teams such as office supplies, signatures collection,
  • organization of team events etc.
  • Support the European Leadership Team with presentations, reports and memos
  • Make all necessary travel arrangements & bookings, coordinate VISA applications and other trip
  • requirements as necessary, for the European Leadership members.
  • Prepare expense reports for ELT members, create purchase orders, follow-up of invoice, lead
  • project initiatives related to improving processes and performance in assigned areas of
  • responsibility.
  • Manage facilities and equipment for the Amsterdam office
  • Troubleshoot and problem solve for staff in various aspects
  • Provide general office orientation for new staff, i.e. office location, supplies, extension list,
  • etc.
  • Be point of contact for external parties (like hotels in AMS, Construction companies, …)
  • Manage Office Budget

Work Experience Requirements:
5+ years’ experience of working in a multinational environment

Educational Requirements:
Bachelor degree preferred

Language Skills :
Fluency in English and Dutch, both in writing and in speaking required
Other languages like French or Spanish would be an asset
