About the role

WHAT DOES THE OPERATION ASSISTANT FOR OUR BRAND HOME DO? 

The operation assistant is a key member of the team who will coordinate the daily operations in the brand home, including the front desk to visitors.
Supporting the operations manager, he/she will follow the processes to optimize the visitor journey and facilitate team members duties.

ABOUT YOU

You will have excellent communication and organisational skills, and work with the onsite teams to achieve the best results. You are autonomous to lead by your own the missions and like the contact with our B2C/B2B audience. 

Responsibilities

WITH OUR CONSUMER AT THE HEART, YOUR KEY RESPONSIBILITIES WILL BE TO:
  • Management of all customers’ requests (mail/phone calls/Zendesk platform)
  • Individual / group booking management, invoice & payment follow up
  • Monthly closures with Payment reconciliation & petty cash management 
  • Team members external contract management & follow up (weekly hours declaration / system / person for interim)
  • Management of external payments (PO/Check)
  • Collating and filing expenses report (concur)
  • Support to run the guided tours (VIP, specific request, Advocacy), the retail offer/fulfill and the bar events
  • Support to execute events (wedding / teambuilding)

Skills and Experience

THE SKILLS AND EXPERIENCE NEEDED TO CREATE YOUR LEGACY:
  • Very strong organisational skills – consistent approach to logging information and reporting results
  • Customer service skills – manage live requests and feedback in an appropriate way, escalating if needed
  • Independent working – self-motivated individual, able to manage your own time and prioritise your workload
  • Good english
