About the role


YOUR OPPORTUNITY

As a PA to Cluster GM, you will be responsible for supporting the Leadership Team - managing their calendars, arranging travels and settling expenses for the General Manager and other leaders.

In addition, this role will be arranging meetings, preparing agendas and taking minutes.

ABOUT YOU

To be successful in this role you need to have the ability to multi-task in a fast-paced environment and work with limited supervision. Excellent organizational skills, able to handle multiple projects with a good attention to details.

Good communicator, a team player, with good interpersonal skills. Able to deal with confidential issues, if applicable. Positive and fearless attitude.

Responsibilities


RESPONSIBILITIES - WITH OUR CONSUMER AT THE HEART YOUR KEY FOCUS WILL BE
  • Schedule and maintain calendars of the Leadership Team; provide calendar support to extended Leadership Team.

  • Coordinate travels arrangements for Leadership Team

  • Schedule and manage meetings of the Leadership Team (prepare & distribute agenda of the meeting, schedule the meeting, prepare the meeting spot, take minutes of the meeting, compile them and distribute).

  • Compose and prepare routine correspondence and memoranda for the Leadership Team.

  • Manage expense reports for Leadership Team members in Concur.

  • Create & manage purchasing orders (PO’s). Follow up on the budget, received invoices, confirm goods receipt.

  • Assist with presentations & reports.

  • Lead projects in assigned areas of responsibility.

  • Answer and resolve other requests and inquiries of the Leadership Team members, as needed

Skills and Experience


SKILLS - THE SKILLS AND EXPERIENCE NEEDED TO CREATE YOUR LEGACY
  • Experience in Administration, especially in the Personal Assistant role.

  • Computer agility skills in MS Office environment (PowerPoint, Word, Excel, Outlook).

  • Very good English level – is a must, native level of Polish preferred.

  • Experience in internal communications distribution / excellent oral and written communication skills.

  • Outstanding organizational, coordination and time management skills.

  • Experience in working with top level management.
