About the role

Your Opportunity

Reservations Coordinator is a key role in servicing consumers with their planning, reservations, invoicing, billing, and tour requests for the Brand Home. This role’s primary focus is to manage all incoming communications and keep the calendar up to date. 


With our Consumer at the heart, your key focus will be to:
  • Respond and traffic all emails in the consumer service email. 
  • Provide clients with assistance in response to email requests via service calls. 
  • Coordinate and manage events in the booking system.
  • Manage event planners and tour operator bookings/DMCs, including generating quotes and invoices for booked events and follow up billing and payment.
  • Keep the Brand Home events calendar up to date which includes events, VIPs, and private groups.
  • Responsible for the coordination and payment process of experiences while providing an excellent service. 
  • Prepare and submit metrics/reports regarding bookings, events, visitors, etc.
  • Any other duty reasonably assigned by the Brand Home team. 
Systems used:
  • Outlook & Microsoft programs – heavy use of Excel for invoicing.
  • Zendesk customer service platform – customer contacts through website.
  • Encore ticketing, booking and POS system.
  • Payment processor systems for manual charges or issue refunds.
  • Third party sales platforms, such as Viator.
Additional Requirements: 
  • Travel throughout Puerto Rico and Internationally 
  • Working alternating shifts
Physical Requirements and work environments
  • Sitting down for long periods
  • Moving objects <10 lbs.

Skills and Experience

The Skills & Experience needed to create your legacy

  • Bachelor’s degree with a Concentration in Communications/Hospitality
  • 1 year Hospitality, customer service, front office and tour coordination preferably with a license/certification in Tourism / Hospitality 
  • Excellent verbal and written communication skills in English & Spanish
  • Familiarity in electronic systems (Word, Excel, PowerPoint, POS, Emails, Internet)
  • Experience with cash handling
