About the role

What does a Shipping & Customs Documentation Lead do?

Reporting to the Logistics Manager, the Shipping & Customs Documentation Lead will be responsible for a small Team of Logistics Coordinators and will manage all aspects of the creation and issuing of shipping & customs documentation. With exceptional Export & Compliance Documentation knowledge, this role will ensure documentation for each Market is issued in a timely manner and to the highest standard of accuracy and compliance.

The Shipping & Customs Documentation Lead will own the creation & issuing of documentation but will also have a flair for exceptional customer service, ensuring any requests or issues  from customers or external issuing bodies are dealt with promptly. A natural, hands-on leader, the Shipping & Customs Documentation Lead will seek to continually review and improve processes within the team, setting standards & KPIs that will deliver on service. With the hands on approach, it is expected the role may require to cover some Team tasks where circumstances require.

The Team will cover operational hours across 24hrs, 6 days a week, therefore whilst this role will be predominantly weekdays/dayshift, there will be some requirement to flex hours to support the Team and Operational needs. The role is based in the UK operation center, located in Glasgow. The operations center (OC) is one of five globally and manages all operational and supply activity for their brands. The OC in Glasgow is responsible for managing the Bacardi portfolio of Whisky and Gin brands.

Responsibilities

With our Consumer at he heart, your key focus will be to:
  • Lead, Manage & Develop a small Team of Logistics Coordinators, across a 24/6 operational –including Primo personal developments plans, “Let’s Talk” appraisals, Training, Holidays and Rota and Absence Management
  • Ensure clarity of shipping & customs documentation requirements, with written SOPs 
  • Ensure the creation & issuing of documentation is prompt, timely & to the highest accuracy standards
  • Monitor and Manage the Team group email, acting as one point of contact for markets, external issuing bodies & internal stakeholder queries – ensure through the Team, each query is dealt with promptly, to the highest level of customer service & to completion
  • Deliver first class customer service 
  • Create & Manage POs & Invoices related to documentation needs 
  • Manage relationships and set up requirements with all external issuing bodies – as example, ensure COO signatory list is maintained
  • Work closely with the internal UKOC Team and build strong partnerships with key Global Stakeholders to drive continuous improvement and results success - customers, compliance, warehouse, IT teams
  • Stay closely linked with Compliance & IT Teams on Documentation & Compliance changes; ensure changes are clearly defined and trained out to the Team 
  • Point of contact for Projects and System related issues – Testing, EDI link, SAP alignment , Customs Systems 
  • Identify areas for improvement, propose solutions with sound conclusions on service & cost benefits
  • Drive improvements to increase service results and drive cost efficiency

Skills and Experience

  • A hands-on Team Leader with natural leadership qualities; experience managing small teams and driving results
  • Extensive Export & Compliance documentation knowledge critical to be successful in this role 
  • HMRC understanding and a full and experienced knowledge on the criticality of the accuracy and impacts of inaccuracies
  • Experience working in the Spirits Industry and the complexities of Compliance in this area desirable
  • Passionate about Customer Service 
  • Excellent communicator at all levels, capable of delivering concise, clear messaging
  • Technically strong with systems – SAP highly advantageous, Expert Microsoft Excel and comfortable with system testing processes
  • Experience in FMCG logistics or  supply chain
  • Strong organizational and planning skills
  • Naturally inquisitive, seeks to stay on top of Compliance needs in an ever-changing environment
  • Ability to multi-task and handle multiple priorities in a challenging, fast-paced environment
  • Seeks to improve & drives change to deliver customer service  and cost efficiency results
  • Energetic, self-starter who works well under limited direction 
  • Flexible working to accommodate business and Team needs
