About the role

Your Opportunity

The key responsibility of the position is to manage all aspects of order management, working closely with Fulfilment Planners – Service & Transport in delivering Order fulfilment rate and meeting customer expected delivery dates. This role supports the Customer Service Manager and provides cover for Fulfilment planners as well as helping develop reporting processes and functionality.

Responsibilities

With our Consumer at the heart, your key focus will be to:
  • Manage orders portfolio, including system and non system integrated distribution entities and 3rd party Customer orders (POs and Stock Transfer Orders, including samples) to meet demand as per agreed business rules and performance standards (OFR-OTIF, MOQ, lead-time, safety, correct SKUs, payload, Production/Manufacturing)
  • Propose product replacement when necessary to customer/CSR ensuring payload targets are respected.
  • Ensure weekly optimised product replenishment plan in place to support integrated Bacardi Distribution entities as per DDR process in order to meet demand signal, and communicate to relevant DDR Markets
  • Inform and escalate supply issues leading to back order risks (raw material availability, production shortage, quality issue etc) to Regional Supply Chain when appropriate and propose corrective actions
  • Work closely with production planning and logistics functions to ensure shipment plan is secured or can be adapted to best meet demand. Inform and challenge internal team and transport representative to achieve the perfect execution of order fulfillment throughout the manufacturing and delivery process
  • Ensure products switch are managed properly at order level to avoid inventory obsolescence and write off – phase in / out process
  • Carry out check on production plan versus order requirements and suggest any changes required to production plan in order to satisfy shipping needs
  • Effectively book all cased goods shipments ex JDSL and 3PL Storage Facilities in accordance with order RSDs and stock availability, taking into consideration OFR rules
  • Monitor carrier bookings and follow up any which have not been accepted by appointed carrier
  • Manage and administer co-loads with Bombay and Oxley gin taking into consideration availability and local transportation optimization in order to minimize cost. Take necessary action to inform relevant parties of any delays in availability which will impact shipment of JDSL orders.
  • Review and monitor product allocations
  • Track any order delay, report root causes (OFR fail reason codes) through weekly process and make sure corrective actions are in place with the relevant stakeholders 
  • Communicate to all relevant parties any delays in order shipments relating to transportation issues
  • Work with 3PL/4PL suppliers to improve adherence to agreed collection dates/times, and also to ensure that all equipment fully meets JDSL quality requirements
  • Provide weekly, monthly order fulfillment reports and analysis
  • Build and maintain Customer/DDR Markets/Customer Service Representatives/Global Supply Chain, BIL and Bacardi Business Units relationships through daily communication channels regarding order fulfillment status. Ensure customer request response and investigate solution for critical issues in order to continuously improve customer satisfaction proactively
  • Support the Warehouse Supervisor in the investigation of any distributor complaints relating to cased goods and provide a report of findings and recommendations for action required
  • Support continuous improvement activities and project implementation within JDSL
  • Manage ad hoc projects when necessary to drive process solutions improvement
  • Deputise for the Customer Service Manager in his/her absence
  • Participate in NPD and customer relationship development projects as agreed with customer service manager
  • Work with the wider Bacardi team to develop reporting functionality that is system based, accurate and accessible to help drive the customer service agenda
  • Maintain responsibility and accountability through personal commitment and behaviour
  • Maintain behaviour in compliance with HSE requirements
  • Report any unsafe or environmentally unsound acts and conditions to their immediate Supervisor such that remedial action can be taken to manage the risk
  • Ensure effective team work internally and externally to drive communications at the right time for accurate decision making and task identification.

Skills and Experience

The Skills & Experience needed to create your legacy
  • 5 years + Experience of working within a FMCG manufacturer preferably drinks industry.
  • 5 years + strong Experience in an order fulfillment production environment > freight forwarder, transportation planning, warehouse logistics and production planning
  • Excellent computer skills including excel, high literacy and SAP ECC/APO experience or any other planning and ERP system knowledge.
  • Strong analytical skills with ability to zoom into right data to drive decisions, determine course of actions required to match supply and demand and assess risk in supply base and infeed.
  • Self starter who works well under limited direction. Ability to work independently with high degree of initiative and drive
  • Detail oriented with strong organizational and planning skills
  • Ability to make quick decisions for corrective action
  • Ability to multi-task and handle multiple priorities in a challenging, fast paced environment

  • Excellent communication skills, tailoring messages for specific audience.
  • Highly competent in Excel (advanced), macros, pivot tables, look-ups etc.
Educational Requirements:
  • HND level commercial qualification or general degree minimum or logistics qualification
